Agentic workflows became possible since approx Jan 2025, when major API orchestration platforms (N8N, Integromat/Make, Zapier) introduced AI models. With introduction of MCP (the model context protocol) by major AI model providers the LLMs (large language models) got ability to access internet, use various data sources and tools to perform actions autonomously.
What I’m saying is that industry is relatevely young and very fast on new things, so it’s totally OK if you’re a real estate professional and you still can’t find time to research AI impact on your industry or monitor last changes
Here I give a couple of ideas how you can use automation in your business, and a few stories for inspiration:

If you have over 5K visitors on your website and over a hundred calls per day, you’ll probably miss calls and people attempting to reach you outside of working hours. If you are selling expensive homes, each call matters. Especially, it’s a painful moment for sellers of premium property and services. Someone calls you at 11pm to schedule on-site visit for tomorrow, nobody response, tomorrow they’ve signed up with similar property nearby.
It might impress you, but real estate firms lose substantial revenue from missed calls: about 50% of inquiries happen outside hours, leading to 60% lead loss.
Why miss calls if you can get a voice or chat agent, asnsweritng questions, qualifying leads and persuading them to leave contact details 24/7?
Just imagine – 85% of leads skip voicemails, and firms see 30-50% or higher appointment conversions with AI.
Each call you miss gives your competitors another chance. Sleep well, the AI is on guard for your business.
According to Dialora AI’s insights, presumably one of their property clients lost $180K from missed after-hours calls, while improving of their technology increased a weekend call capture by 340%. Impressive story – read here.
According to Intellnova (Romania), one of their supposed RE clients in Miami reduced after-hours missed calls by 71% in 90 days, boosting showings significantly via instant booking and qualification – read here.

Time waste on B2B sales burden is not so small as you may think. Same as you, I also sell my services every day and spend hours to find people, write a right message with proper personalisation, answer to everyone who responded and prepare myself for calls and online meetups. It all requires heavy lead research and data gathering about companies.
AI-driven workflows can deeply research companies and prepare yourself for serious sales conversations by giving you proper hooks and data for the conversation. Impress your counterparts with how aware are you about their current landscape!
If you’re still manually completing your CRM after call it’s definitely a prehistoric way to run business – save hours by automatically recording TXT call transcripts accross your CRMs and spreadsheets.
Even if you’re not a big fan of fully automated funnels, you can still rely on partial automation, such as generating a personalized message based on research or enriching your current speardsheet with lacking data.
While big companies, like RE/MAX work on complex problems, for example a machine learning algorythm that matches properties with customers, smaller firms, like Home Flow Realty from Florida focus on smaller size workflow management gaps.
They had leads coming from multiple sources (website, referrals, landing pages) and it was manually distributed by manager. Obvious slowdown in response time. Implementing of automation based on Dynamics 365 CRM brought structured follow ups, centralized pipeline and more deals closed – read the full story.

You can’t just wait for incoming leads, you have to research tenants you never heard about and negotiate new premises and houses to sell. Portal leads (Zillow, Realtor.com) are expensive, you stop paying, they stop coming. The agents building million portfolio businesses invest into their own outreach, email databases, SEO, content and Google Business Profile. You can’t manage everyting alone, while concentrating on one direction you loose the others. How much time are you spending for listbuilding and lead hunt?
You can still use Loopnet, Crexi or Rltrac.com if you like them.
At the same time you can try workflows that build your prospecting list by prompt – such workflows pull leads from various databases via API ( use lower cost Lusha, Apollo, Lemlist and similar databases). It becomes handy on days when you are not in proper mood to heavily research new companies. You can see example of such N8N workflow using LeadIQ API here.
Additionally, you can use ready-made SaaS products outside of Real Estate portals. As example, Amplemarket has built-in functionality to search leads by prompt. This B2B sales solution has a robust company search utilizing over 100 data points. It also provides automated omnichannel outreach: LinkedIn + emails + calls + voicemail – your main channels in Real Estate. Especially relevant, if your clients are technology firms and startups.

Another use case for outreah is AI outbound calls made by voice agents. They activate your old dead leads and refresh abandoned databases (here you have low risk of rejection). You can increase amount of conversations by 10% when doing automated calls several times throughout a week.
Such solution can be used with human cold calling – AI agent initiates the dialoge and switch immediately to the human in case of warm reply. So you don’t waste the whole day on the phone.
Did you know that you can record your voice via ElevenLabs and connect it to Lemlist to automatically generate voice messages in LinkedIn by just typing text? Will you impress your counterparts with your approach? – Of course.

What happens when someone completes the form on your website?
Your daily business chores are the same: you get incoming call, or process Instagram/Zillow/website lead, prepare on-premise visit for the client or do anything else – think in terms of simple processes, in terms of your client journey. And find ways to process more leads per day.
“Most real estate teams don’t have a lead problem. They have a ‘nothing happens after the form’ problem”.
When the client journey starts (you get a new lead via Zillow or a webform), AI automated workflows can inject this person to GoHighLevel, send this person an email, inform your team in Slack, register lead in CRM and generate next steps for managers.
Follow-ups are included. Make your leads funnel a money-printing machine.
Realhome (USA) had manual processes for lead capture (FB, GMB, website), lead entry and follow ups. After Autoesta automated their HoGhighLevel CRM with WhatsApp chatbot auto-responder and sms/email follow up the missed leads droped by 60-70%, with average response time increased to 5 mins. Impressive – read here.

Content is still a King – you have to write articles, shoot short form YouTube and TikTok videos to promote your premises. Additionally you setup PPC ads, prepare V-signs and paper flyers.
AI can generate your content or make this process much faster.
AI can prepare a consistent content plan for your firm with regular publications on all platforms.
We are not talking here about AI slops, as example you can gather ideas by analysing and sorting trendy content ideas from internet. You can automatically research publications and sales signals on specific topic (people searching for advice in your area of expertise);
The publication process can be semi-automated when you still approve each publication manually or edit it yourself.
AI didn’t replace real estate marketing — it turned every listing into a content factory.
Canva writes an article about First National Real Estate from Australia. Such networks of independent agents require to adapt content materials towards local realities and go through centralized approval of each material.
It reveals a bottleneck that network agencies experience when producing collateral. Read here.

Are you willing to look as a company from age of Baby Boomers or a supersonic enterprise capable to serve Gen-Z? Using modern technologies will not spoil your relations with conservative audience, but will show that you have capabilities to be in time with everything, follow new trends and be better than your competitors.
No-code custom AI workflows allow you to communicate with clients in a more personalized and convenient way.
In some cases they let client learn your offers without contacting your staff (which is appreciated by introverts), in some cases they make you more prepared to meet the demand.
From perspective of clients your company becomes well organized, better looking (high quality content and social media etc), it outperforms their expectations.
No more gaps, no more weak excuses («I forgot to call you» etc) – just polished service they deserve and adore.
We have a pharmacy network in Kyiv that installed a robot to their premises to deliver medicine from stock to the shelve (see video how it works below).
In other pharmacies the human gives you the order, in this one it appears inside a vending machine. A small tweak which looks cool and gives safety – a human does not touch your box of medicine, so it’s COVID-free.
This example might be already outdated – the vending robot was installed several years ago – not something extra new, but it still shows how fancy automations can upgrade brand perception.
By the way, Ukraine is no more a third world country – we have digital government, best military drones, legal Bitcoin and high automation on transport. Think twice if you belive Ukraine is a wrong country to source your technology related needs and visit us after the war!

AI systems helps you to save on staff and entertain guests in a better way.
While large hotel networks, such as Marriott use complex behavioral analysis to adapt content and message for deep guest personalization, smaller hospitality firms, such as Langham Hospitality Group use agents for omnichannel incoming communication and to teach 5000 people staff accross 30 locations.
